Privacy Policy

This website is provided by Hong Kong Precision Oncology Society (collectively “we”, “us”, “our” or the “Group”). We take the privacy of our members and website users and the security of their personal data very seriously.

The purpose of this Privacy Policy is to set out the principles governing our use of the personal data which you give to us, or we obtain about you. By using this website, by registering patients’ events or services which we provide, you agree to this use. We ask you to read this Privacy Policy carefully. Any dispute which may arise over privacy will be subject to this policy, any collection notice given to you and the provisions of Hong Kong law.

We may change our Privacy Policy from time to time. Therefore, we ask you to check this Privacy Policy occasionally to ensure that you are aware of the most recent version which will apply from the time you access this website. We will of course notify you of any changes where we are required to do so.

DESCRIPTION OF THE INFORMATION WE COLLECT AND HOW WE USE IT

1. Aggregate Information

In common with many commercial organizations we monitor the use of this website by collecting aggregate information through the use of cookies (see below). Typically, we collect information about the number of visitors to the website, to each web page and the originating domain name of the visitor’s Internet Service Provider. This information is used to understand the visitor’s use of the website and may be shared with other companies within the Group and with other third parties. We have no means reasonably available to us to ascertain the identity of individual users from aggregated information.

2. Personal Data

By “Personal Data” we mean any data relating directly or indirectly to a living individual from which it is practicable for the identity of the individual to be directly or indirectly ascertained, and which is in a form in which access to or processing the data is practicable.

You do not have to provide your personal data to us. However, in certain circumstances we will not be able to provide our services to you without obtaining your information. We may collect personal data about you in the following circumstances:

  • if you register for membership or services;
  • if you contact us with queries or feedback.

We may collect your contact details including your name, telephone number, e-mail address, country of residence and other information which you voluntarily submit.

We may also collect information about how you in particular use this website through the use of cookies (and other similar technologies) (see below). We may also monitor customer traffic patterns and site usage to help us to improve the design and layout of our site, personalize your experience by tailoring the content you see thus optimizing your user experience. We may also perform statistical analysis on our members’ accounts to determine, among other things, how many of them are active, how frequently they are used and how many of our other websites you are registered with.

Occasionally, we may obtain sensitive personal data about you, for example, information relating to your physical or mental health or condition, but only if you voluntarily provide us with this information. By providing us with this information you consent to us processing your sensitive personal data for the purposes set out in this Privacy Policy.

We may also obtain information about your opinions if, for example, you send us feedback, or ask us questions.

We may also, occasionally, receive information about you from other sources (such as third parties or other companies within the Group) which we will add to the information which we already hold about you in order to help us improve and personalize our service to you.

If you provide us with information about another person e.g. a colleague of yours, you confirm that they have appointed you to act for them, to consent to the processing of their personal data, including sensitive personal data, and that you have informed them of our identity and the purposes (as set out in this Privacy Policy) for which their personal data will be processed.

3. Purposes for Use

The personal data we collect from you will be used to help us serve you with our products and services, administer our business, enhance and support our operations, manage our risks, market our products and services and meet applicable laws and regulations. In particular, we may use your personal data for the following purposes:

  • to process your application for services;
  • to provide you with health information and, where necessary, to notify you about changes with respect to our services;
  • to market our services to you (see paragraph 5 below for more information).

4. Disclosure

We sometimes employ agents and service providers to perform functions on our behalf, such as IT or telecommunications providers, companies providing administrative support, market research companies on our behalf, and legal and professional advisers. They may need access to your personal data in order to perform their functions. We will only transfer your personal data to such agents and service providers if they agree, contractually or otherwise, to have in place adequate and appropriate retention and security policies and procedures with respect to personal data.

We may also provide your personal data to any person where we are required to do so by law, including any applicable regulators, governmental bodies, tax authorities, licensing bodies, or other industry recognized bodies located inside or outside Hong Kong.

5. Transfer of Personal Data Outside Hong Kong

We will not transfer your personal data outside Hong Kong unless:

  • we reasonably believe that the receiving jurisdiction has in force any law which will ensure the adequate protection of your personal data;
  • we have taken all reasonable precautions and exercised all due diligence to ensure the adequate protection of your personal data in the receiving jurisdiction; or
  • we have obtained your consent in writing.

6. Direct Marketing

From time to time, we may use your personal data (including your name, email address and phone number to send you email alerts, SMSs, phone calls, to inform you about our health seminars, diseases education information, pharmaceutical products and patient programs. However, we cannot do so without obtaining your consent.

We may also pass your personal data (including your name, address, email address and phone number) to our assigned service providers of MIMS Hong Kong Limited to enable such third parties to tell you about their pharmaceutical products and/or healthcare-related services and to invite you to health talks or seminars. However, we cannot do so without obtaining your consent.

Even if you have given us your consent to use your personal data for the above direct marketing purposes, you can withdraw your consent, free of charge, at any time (see section below on opting out).

7. Opting Out from Direct Marketing

If you have elected to receive information about our products or services, and you wish to opt out of receiving such information, then you can do so by sending an e-mail to ioc_admin@hkioc.com.hk. You should clearly state on all communications: your name, username (if any), registration details (if any) and the name of this website. Your opt out will be processed and will take effect as soon as possible.

8. How We Protect Your Information

We have in place appropriate security policies which are intended to ensure, as far as possible, the security and integrity of all our information, including your personal data.

9. Use of Cookies

In general terms, cookies are small text files which are sent to your web browser and stored on your computer’s hard disk. Cookies act as a memory for a website, allowing that website to remember your computer on your return visits. This is particularly important for websites that require you to sign in as it speeds up your access. We use both session cookies (which exist only until you close your web browser) and persistent cookies (which exist for a longer, specified period of time).

Some of our advertising banners may send a cookie to your hard disk (whether or not you click the banner). If you subsequently visit the advertised website we will know that you have seen our banner. This allows us to keep track of the success rates of such banners.

10. Children

Our website is directed at an adult audience (such as healthcare professionals, investors and individuals seeking information about healthcare products). We do not knowingly collect information from or about children. Please do not use this website if you are under 18.

11. Improper Conduct 

We may use the information we gather and/or receive about you to investigate and help prevent unlawful activity or activity that threatens our network or otherwise jeopardizes the provision of this website and we may disclose such information to third parties (such as the police) for these purposes.

12. Access and Corrections

If we collect personal data about you, then you have a right under data protection law to request access to that personal data (for which we may charge a small fee). You also have a right to require any inaccuracies in your information to be corrected free of charge. You can ask us to modify your details by sending an e-mail to ioc_admin@hkioc.com.hk.

Please state your name, username (if any), registration details (if any) and the name of this website clearly on all communications.

13. Other Information

You should note that if our business (or any part of it) is sold or transferred at any time, the information we hold may form part of the assets transferred although it will still only be used in accordance with this Privacy Policy.
